BPOC is seeking an Administrative Assistant

The Balboa Park Online Collaborative (BPOC) seeks a part-time Administrative Assistant who is dynamic, business-minded and proactive with strong financial, organizational and communications skills. BPOC is a small 501(c)(3) organization that strives to foster a culture of innovation and collaboration among nonprofit organizations through technology. Located in the heart of Balboa Park, BPOC provides thought leadership and a range of technical services to the museum and cultural sector, our clients range from small to large non-profit organizations.

Reporting to the CEO, the Administrative Assistant will provide financial and operational support across a range of functions including financial accounting and reporting, payroll, contracts, HR administration, project management and general office responsibilities. The successful candidate will possess great attention to detail, a sense of humor and present a confident and professional face of the company.

Under the direction of BPOC management, primary responsibilities include:

Financial Reporting, Payroll and Accounting

  • Bi-monthly payroll; cash receipts; invoice processing and credit card payments;
  • Prepare and ensure expense, income, in-kind forms for submission to CPA;
  • Perform grant submission, tracking, and administration duties;
  • Work with BPOC CPA to prepare and provide financial reports for grant applications, official meetings and other audit, accounting and financial duties as needed.

Contracts/Agreements

  • Manage contract process including quotes, contract initiation and execution;
  • Manage and oversee incoming contracts to ensure contract requirements and deadlines are met;
  • Manage renewals on insurance, and other formal contracts or agreements.

HR Administration

  • Liaise between staff and HR service provider as needed, shepherd the annual enrollment process, ensure HR forms and documents are distributed and processed;
  • Provide HR support to staff as needed.

Office Administration

  • Order office supplies;
  • General office administration as needed;
  • Support CEO and staff as needed

Other duties as assigned.

Qualifications:

  • Bachelor’s Degree or a relevant combination of education and experience;
  • Two years of experience in related position;
  • Excellent customer service skills;
  • Microsoft Office skills, especially in Excel;
  • Payroll experience, PrimePay preferred;
  • QuickBooks experience preferred;
  • Superior data entry and accuracy skills;
  • Strong oral, written, communications and presentation skills;
  • Ability to work with diverse communities and groups in a collaborative environment.
